How reminder emails are sent and who clients reply to
DueForce delivers automated invoice reminders through our secure email infrastructure. Messages are sent from a secure DueForce transactional address, while the From display name shows your practice (typically Billing · [Your Firm Name]) based on what you enter under Firm name on your Account page.
The Reply-To address is set to your firm’s Billing department email (reply-to) from Account (for example billing@yourfirm.com). When a client hits “Reply” their response goes to that billing inbox. Your firm name, billing reply-to, and mailing address must be entered and saved before DueForce will send automated reminders or demand letters.
Demand letters and automated reminders use the same branding pattern - a firm-forward copy, professional layout, and an automatic BCC to your billing reply-to email address.
DueForce sends secure transactional emails from a DueForce sending address, but the visible sender name is “Billing · [Your Firm Name]” when you save “Firm name” on your Account page. Subjects also include your firm name so clients always recognize the message is from your firm.
Set “Billing department email (reply-to)” on the Account page to your law firm’s billing or accounts inbox (for example billing@yourfirm.com). Replies and the Reply-To header use that email address so clients respond to your team and not to DueForce. Your law firm name, billing reply-to email address, and mailing address must be saved before DueForce will send automated reminders or demand letters.
Automated reminders and demand letters require your law firm’s name, billing reply-to email address, and mailing address on Account. Until all are filled in and saved, DueForce blocks those sends so every message shows your firm identity, includes your mailing address in the email footer, and replies go to your billing inbox.
After a reminder is sent, DueForce records status updates when we receive them, such as delivered, opened, or bounced so you can review activity on each invoice.
You upload an invoice, choose reminder timing, and we run the automation on a schedule. After your law firm name, billing reply-to email address, and mailing address are saved on your Account page, DueForce checks which reminders are due, sends them, and logs everything for you.
Start with one invoice, turn on the reminder schedule, and then watch the reminder log page to see the automation in action.
The Invoices page shows up to 10 invoices at a time. Use the arrows (← and →) below the list to move to the previous or next page. Sort orders invoices by most recently created first, or by due date with the soonest due first. Visibility chooses whether you see active invoices only, archived only, or both.
Subscription plans include unlimited invoices. The list is paginated (10 per page) so the screen stays clear and easy to scan—not because of a cap on how many invoices you can store.
Archive hides an invoice from your default list so your workspace stays focused—your reminder logs and history stay intact. On the Invoices page, use the small Archive / Unarchive control next to the status badges (not the main row of actions). Use the Visibility filter to show active only, archived only, or everything. In Account settings you can turn on optional auto-archive: when enabled, paid invoices are automatically archived after 180 days. You can always unarchive an invoice if you need it back in the main list.
When auto-archive is enabled in your Account, DueForce checks eligible paid invoices on our daily automation schedule. Exact timing can vary by day so we can’t promise a specific clock time.
When you mark an invoice paid, DueForce records that moment as the paid date. Optional auto-archive uses that date to decide when a paid invoice becomes eligible to archive after 180 days. If something hasn’t archived yet, confirm the invoice is marked paid and that auto-archive is turned on.
Open Account from the dashboard. Billing and Stripe are under Billing & subscriptions. Invoice archiving, including optional auto-archive after 180 days, is in the Invoice archiving section on the same Account page.
Yes, and you should also save your “Billing department email address (reply-to)” and your law firm mailing address. All three are required before DueForce can send automated reminders or demand letters so clients see who the message is from, your postal address appears in the email footer, and replies go to your billing inbox.
Yes. Archiving only hides invoices from your default list. It does not remove reminder logs. Use the Reminders page to review sent, pending, and failed activity as usual.
